Terms of Service

Last updated: [go-live date]

These terms govern your use of CoverWatch, provided by [LEGAL/TRADING NAME] ("we", "us"). By creating an account or using the service you agree to them.

1. The service

CoverWatch helps you track your subcontractors' insurance certificates, estimates the potential cost of compliance gaps, and sends reminders. It is a tool to support your decisions — see the important notice in section 5.

2. Accounts and eligibility

You must be at least 18 and have authority to enter into these terms on behalf of your business. You are responsible for keeping your login secure and for activity under your account.

3. Subscriptions, fees and cancellation

  • CoverWatch is offered on a flat monthly subscription of [£20]/month. New accounts start with a 2-month free trial; your card is taken when the trial begins but nothing is charged until it ends. Prices are shown on our site.
  • Payment is taken in advance via Stripe. After the free trial your subscription renews automatically each month until cancelled.
  • We may change pricing on reasonable notice; changes apply from your next renewal.

Cancellation & refunds

  • Cancel any time. Cancel from your account or from the Stripe billing portal. Cancelling during the free trial means you are never charged.
  • Cancelling stops future renewals; you keep access until the end of the period you have already paid for.
  • Because CoverWatch is a business-to-business service, statutory consumer cancellation rights do not apply. Except where the law requires otherwise, fees already paid for the current period are non-refundable.

4. Acceptable use

You agree not to misuse the service, upload unlawful content, attempt to access other customers' data, or use it to send unsolicited marketing. You must have a lawful basis to upload your subcontractors' personal data.

5. Important — not professional advice

CoverWatch's exposure figures are estimates and a decision aid, not insurance, legal, financial or professional advice. They are based on assumptions you can edit and do not guarantee any outcome. We do not verify the authenticity of certificates and are not an insurer or broker. You remain responsible for your own compliance and contracting decisions and should take professional advice where appropriate.

6. Your data

You retain ownership of the data you enter. Our handling of personal data is described in our Privacy Policy. You grant us the licence needed to host and process that data to provide the service.

7. Availability

We aim to keep the service available but do not guarantee uninterrupted or error-free operation, and may carry out maintenance from time to time.

8. Liability

Nothing in these terms limits liability that cannot be limited by law (such as for death or personal injury caused by negligence, or fraud). Subject to that, we are not liable for indirect or consequential loss, or for loss arising from your reliance on the exposure estimates, and our total liability to you in any 12-month period is limited to the fees you paid us in that period.

9. Termination

You may stop using the service at any time. We may suspend or terminate access if these terms are breached. On termination your right to use the service ends; data handling then follows the Privacy Policy.

10. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
